speaker-1: Good afternoon, everyone. Shannon Voice here for Vasion. Today I am joined by Richard Roati from Clairvita. Very excited to have a customer guest with us today. ⁓ he is not in studio, he is joining us digitally, and we're very thankful for you taking the time to hang out with. Richard, why don't you start a little bit with an introduction about you, your career, and ⁓ and what Claire Vita does. speaker-0: Bet so I joined Clarvita in 2004. Clarvita is a healthcare company, so we work with clients primarily with minors with young people, and ⁓ we help them out. So I joined when I joined Clarvita in 2004, I worked my way up from IT user provisioning through purchasing. In 2010, I became an administrator. And in 2015, we were we found Vasing. speaker-1: You've been with Claire Vita a long time. Obviously, you have been able to see all of the good that they do, the communities that they help. I I have in my notes that you have over two hundred offices in the company. Is that correct? speaker-0: And that's absolutely correct. So that's right. speaker-1: That is a lot of locations. And I can only imagine what that mice must be like trying to manage that many different locations concerning a print environment. And I know that ⁓ when when we get into the challenge ⁓ that you're up against, we'll talk about that a little bit, but I wanted to make sure I brought that up. So 2015, you found printer logic and and tell us a little bit about what was that. Experience like when you first encountered Printer Logic? What led you to go looking for it? And then what was it like once you found us? speaker-0: So before we found Vasing or PrinterLogic, we would have a file and print server in every office that we operated. And if there were fewer than 20 people in that office, which happens sometimes, we would have a Windows 7 workstation as a file and print server. If we had more than 20 people in that office, we would have a physical server in a data closet in that office. And that physical server would act as a file and print server for shared network drives and as a print server. So if you can imagine purchasing, maintaining, building, shipping, and then you know keeping up and running 200 file and print servers. That's what we had before we found Bayesian. speaker-1: That is an incredible amount of work. How big was your team that you needed to be able to manage all of those locations and all of those print servers? speaker-0: We have a very small team. We we have maybe sixty people and those numbers really haven't changed a whole lot. There's a few less of us ⁓ now than there were, but it was quite a scramble to keep everything up and running. speaker-1: So you had a team ⁓ of 60 or less that that had to maintain all of these physical servers in all of these locations. I cannot imagine how many travel hours were put into maintaining just the print environment. Yeah, not to mention the rest of the the tickets that went along with that. I I'm sure that was kind of a nightmare. ⁓ so with that in mind then. You realize that you need a better solution. How did you find printer logic? speaker-0: We were researching solutions so that we could centralize both, you know, file servers and printing. So we centralized our files into ⁓ our data center and we centralized our printing printing with Bayesian. If if we hadn't found Bayesian, we would have had to find something just like it. So ⁓ We were so happy to find you and realize that this was going to be the answer. Instead of having to purchase and maintain two hundred servers, we we could have ⁓ the files on you know several servers in our data center and the printers all managed by Bayesian. speaker-1: You know, this is so this is something that ⁓ you and I had had spoken before we started the podcast. And if we're just doing some some quick and easy math here, if you estimate 200 servers, you know, roughly five thousand dollars each to to purchase and maintain and all the things, you know, that comes out to one million dollars in in recurring hardware costs. That's a steep price to pay just to make sure that everybody can print. speaker-0: Every five years. So, you know, servers are normally warranted for five years. So every five years, ⁓ the servers would go out of warranty. So we would have to purchase all those replacement servers all again. And that five thousand dollars is just for the hardware and maybe the Microsoft license. That doesn't include provisioning the server, restoring the file shares, bringing the server to the office. ⁓ updating and maintaining that server, making sure that there's enough disk space, you know, all the things that admins have to do with servers that a they have to take care of on a rotating basis every five years. You know, all that is ⁓ no longer needed. So it's really awesome. speaker-1: So when when you discover printer logic and we tell you we can eliminate your print servers, not just help you manage them, not just make it a little bit easier or a little bit less expensive. When we say to you, we can help you eliminate your print servers, what's that like for you? What what are the conversations that you have with your peers and leaders when we say we have a solution that can do this? speaker-0: ⁓ it was like, ⁓ my gosh, what have we been doing all this time about Bayesian? It it was just incredible. I mean, you know, it it took a little bit of doing, ⁓ just like anything does. ⁓ you know, we had to set up the server, we had to configure it, we had to add the drivers. But once we did that, so much easier for our for our admins. And then not only for them, but think about think about our employees. Having to remember or know the name of the file print server to get the printers in any office that they go to. Now, if someone's traveling, they just need to click on the printer logic icon. It opens up, it shows them all the offices and all the printers that are there. They click on it, it installs a direct TCP IP printer for them to use. No need to go to the server anymore. You've got the driver. And you're ready to go. So think about all of the help desk tickets that were needed to configure printing for our employees. That, you know, once we set up that printer, we're good. Just go look for the icon in your tray and go find your printer and install it. You're done. So you don't even need to involve IT at that point. You know, you just need to know that there's an icon in your tray and that you're going to be all set. speaker-1: So not only was this an incredible find and a solution for your staff on the IT department and for you, but it sounds like this had a tremendous impact for the end users as well. How many employees does Claire Vita have, roughly? speaker-0: As far as employees with computers go, we're over five thousand. speaker-1: And so now using printer logic, implementing printer logic, you're now at the point where 5,000 or or however many employees you had at the time, ⁓ up to the point where you know now you have this many employees, it's as easy as I can just go to my tray, find the printer icon, and it will direct me to the printer that I get to use. And and I have to imagine that this has you've seen a significant decrease in help desk tickets, in emails. And probably a lot of complaining around the proverbial water cooler as well, I imagine. Tell me a little bit about what this has done for you and and your staff being able to provide the employees with the power to just print easily. speaker-0: So, you know, our users, our typical employees, do not have admin rights on their computers. We do that for so, you know, security reasons to prevent ⁓ you know, malware from being installed and all the bad guys out there trying to get into our computers. You know, to install a printer, you you need admin rights ⁓ on your machine to install a printer. Normal. But printer logic, with printer logic, you don't need to have admin rights. You open up the tray, you click on the icon, your printer is installed. So think about this. You know, I I just joined an office. There's only a few people in there today. They're not sure about how to add a printer. I've got to open up a help desk ticket, wait for the IT staff to connect to my computer, log on with admin rights, or put in their credentials, install the printer. Figure out, you know, which office I'm in, which printer is appropriate for me. Easily 5,000 tickets a year. Maybe an hour of staff time, an hour of IT time. Now, as long as they know that there's that icon in their tray, we're we're good to go. There's no need to contact IT, they can do it themselves. Installs direct TCP IP printing. There's no need for a print server to do in the print queue. Remember the print queue back in the day where the print queue would get messed up. We'd have to go clear the print queue. We don't have that problem anymore. We have direct TCP IP printing. So there's so many things that are just so much better. It's just really fantastic. speaker-1: I wanna come back to something that you just said. If I heard you right, you said about 5,000 hours for end users and 5,000 hours for IT tickets. ⁓ so this is about 10,000 hours per year that you've now eliminated, that you've reduced in time and resources that are spent dealing with print-related issues. Is that is that correct? speaker-0: Yeah, we just we just, you know, we we orient all of our employees. You know, we have an orientation for ⁓ So if the office manager didn't show ⁓ where printer logic was located at, ⁓ you know, our orientation is gonna show ⁓ that. So, you know, we get ⁓ oriented, they're ready to go, they're ready to print. No more IT for this. We have all kinds of other things we have to be doing. You know, we're we're not all just, you know Printer operators, you know, of the company. We've got a lot of things going on. ⁓ every day there's some kind of new adventure, right? So it's I the world of IT. There's always some discovery of something happening. ⁓ and printing is one of those things that it's not it. It's not the printing. The printing is not a problem. We don't have to worry about the printing anymore. We're we're set, we're good. And the the is so stable. You know, I wish all of our applications were as stable as Praener Logic is, to be honest. So ⁓ better knock on wood, right? So knock on wood, knock on wood. But ⁓ you know, I have to update the VA periodically. We have a VA, there's different ways of doing it. You can have printing in the cloud, you can have a VA, you know, pick what you wanna do. Bayesian let you do whatever you want, be in the cloud, be on a VA. We're on a VA, we're a healthcare company. So You know, the VA is just rock solid. It it works great. So why would I want to change anything about it? I don't. So don't want to. It just works. So I'm good. speaker-1: You know, so this is ⁓ I was I was talking with with my coworker ⁓ again before we started shooting, and one of the things that is so amazing is here you have this solution, you've had it for ten plus years, and we think about the people who are just now discovering it, and I and I have to laugh a little bit about what you said. It's like you wish that everything worked as as well as printer logic. So If I may take just a moment and and speak to you on behalf of those who are listening who maybe haven't found it yet, that might be considering it. If I were to ask you as a fellow systems administrator, IT director, possibly even a a chief information officer, is anybody who who is involved in the decision making of implementing ⁓ printer logic in order to eliminate their print servers, what would you say to them is is the experience kind of start to finish of Finding it, implementing it, and ⁓ obviously we've spoken about the the effect of it and and how ⁓ how much it has worked and how easily it has worked, but what would you say to somebody who is considering using this solution at this point? speaker-0: Since we do so many different things, you know, we're kind of experts on all of it, but we really rely on support to help us out when we need it. And, you know, when we when we discovered printer logic and we said, Okay, here's what we need to do, but what about this question or what about that question? What is this really like ⁓ over here? Is it is it as simple as it looks? It can't quite possibly be that simple, can it? But ⁓ you know, we contact ⁓ Bayesian support and they're so helpful. You know, one of the things that I do every once in a while is, you know, a vendor will come out with a new model and that old driver, we need a new driver. So, you know, I go, okay, I got the dot driver downloaded. I need to know which INF file is the right INF file. And the vendor will put in 10 different INF files into their driver package. I call up Bayesian support, they go, the the INF file that you want is this one right here. It's just fantastic. And then, you know, configuring it. it's it's super intuitive and easy, but you know, when we are setting it all up for the first time, you know, it's something new, you know, there's always that fear of, ⁓ it's this new thing that I have to learn. The Interface is just to me is you know, people talk about intuitive interfaces and the interface is intuitive. Just you know, click around and you're gonna find everything you need. There the there's a knowledge base, there's documentation. You know, I need to periodically change my SSL certificate. That's been you know a big deal with a lot of ⁓ vendors changing that SSL certificate. ⁓ I've got to do it over here. I've got to do it over there. I've got to do it in this place. How many places do I have to do it for one application? With Vaysian, I got one place, one place that I gotta do it. And you even provide a tool for editing the SSL certificate. And it and it all works. And it works great. So ⁓ I'm so happy. I'm so happy that ⁓ we we found Vaysian, we found printerlogic, we have something that works. I have all these other things that don't work as well, but I've got Bayesian and it works great. So I'm happy. speaker-1: Richard, it has it has been amazing to hear your experience, ⁓ just some high points. you know, estimate one million dollar in in hardware costs yearly ⁓ eliminated, ten thousand hours worth of of resource time between IT and end users eliminated. ⁓ you you talked about a drastic reduction in print, ⁓ help desk tickets, self sufficiency of your employees depending on on location and wherever they are. and and It it's this sort of thing that we just we love to hear and we're very grateful for you sharing your experience over the last ten years.
